An overview of the Opus company and the initial situation

Opus manages a total of around 100 employees at six warehouse locations - with a wide range of qualifications and changing work locations. Before working with compleet, personnel planning was characterized by isolated solutions and analog processes that were increasingly reaching their limits in day-to-day business. The growing requirements for real-time transparency, time recording and digital control necessitated a fundamental realignment of the workforce management processes .


Challenges in front of compleet workforce

Opus Logistic was confronted with a high degree of complexity in the operational management of its logistics processes on a daily basis. Spontaneous shift adjustments, absences at short notice and changing customer requirements demanded flexible workforce planning - which was becoming increasingly difficult to manage with the previous resources.

The solution used before the collaboration with compleet proved to be complicated to operate and not very adaptable. At the same time, it lacked central functions that are essential for modern workforce management, such as a transparent overview of attendances and absences, prompt, reliable time recording and the ability to manage vacation requests digitally and across locations.

Opus also reached its limits in the area of cost control and efficiency evaluation. An evaluation of shift data by location or supplier was only possible with additional effort - often via Excel. For example, there was a delay in recognizing when overstaffing at a location became economically problematic.

For a company that has to reliably provide staff 365 days a year, it was clear that the existing processes had to be replaced by a scalable, user-friendly and transparent system.

 

Why compleet? Decision making & start

The first contact between Opus Logistic and compleet was made at the transport trade fair in Munich - initially through a personal conversation, then through a targeted presentation of the software solution. What began as a non-binding exchange quickly developed into a serious project approach: the solution presented met exactly the requirements that Opus had been missing in its dynamic day-to-day business.

The decisive factor was not only the functional scope of compleet workforce, but also its concrete feasibility in the operational environment. The combination of clear user guidance, modular structure and the ability to adapt processes individually to Opus operations - without having to resort to an overloaded or difficult to integrate system landscape - was particularly convincing.

The implementation was structured and based on partnership. The software was adapted to the specific requirements of the warehouse locations in close coordination with the contact partners. The first core functions, such as time recording via terminals, shift planning and employee self-services (e.g. vacation requests via app), could be used productively after just a short time - with consistently positive feedback from the operational managers.

 

The solution in use

Today, compleet workforce is a central control element in Opus Logistic's day-to-day logistics operations. Employees record their working times directly on site using several terminals - quickly, reliably and tamper-proof. At the same time, warehouse management and operational managers use digital shift planning to deploy staff across locations and specific trades - including short-term adjustments in the event of absences or order peaks.

A particular added value lies in the flexibility of the planning options: Intermediate, early or late shifts can be assigned individually. Employees have immediate access to their shifts via the app, can report absences or submit vacation requests digitally. The paper forms used in the past have thus become superfluous - which not only saves time, but also improves traceability.

The system also makes document management noticeably easier: certificates, proofs and documents with expiration dates are stored centrally and deadlines are monitored automatically. This means that warehouse management and administration can access up-to-date documents at any time - an important criterion in an environment that is subject to strict quality and safety standards.

The newly introduced dashboard also allows Opus to view operational key figures in real time - a basis that will also be used for further evaluations and strategic decisions in the future.


The results - what compleet has changed

The introduction of compleet workforce has not only digitalized processes at Opus Logistic, but has also significantly simplified operational management. Shift changes, vacation requests and time recording now run in a structured manner and without additional effort. The administrative workload has been noticeably reduced for warehouse managers in particular: instead of manually compiling information, they now have access to central, digital overviews that provide them with all relevant data on a daily basis.

Acceptance is also high at employee level. Thanks to the app, employees can view their working hours, absences and shifts at any time. This has significantly reduced the number of queries to the administration - which also helps to reduce the workload in day-to-day business.

One particularly valuable aspect is the transparency gained regarding the deployment structure and capacity utilization at the various locations. Recognizing at an early stage where overcapacity is occurring or resources are lacking helps operational management to plan efficiently and cost-consciously - an ability that is crucial in a 24/7 operating environment.

Looking ahead

The introduction of compleet has created the basis for modern, digital and scalable workforce scheduling at Opus. At the same time, the solution is designed in such a way that it can be continuously adapted to the changing requirements of day-to-day operations. Opus is already working closely together to expand the system step by step. The main focus here is on greater transparency, smarter control impulses and additional evaluation options - always with the aim of enabling well-founded decisions based on daily updated data.
