DEKRA Arbeit GmbH is a personnel service provider that is part of the international DEKRA Group and supports companies from a wide range of industries in filling and managing their personnel requirements. By taking on a master vendor mandate for a leading global specialist in automation technology, the company has taken an important strategic step and at the same time successfully implemented a highly complex project.
Over 100 temporary employees, five locations in two federal states, different approval processes and eight associated personnel service providers characterize the structure of this project. Initial situation: Involved as a co-supplier
Before taking on the master vendor mandate, DEKRA Arbeit GmbH was involved as a co-supplier. The collaboration ran exclusively via the master vendor at the time. The direct exchange with the end customer was largely limited to individual contacts with the HR department, particularly in the event of problems.
A key challenge was the lack of transparency, including in communication. There was often no feedback on submitted profiles if a candidate was not accepted. Control and insight into the overall project were only possible to a very limited extent.
The contract as master vendor
DEKRA Arbeit GmbH took over the master vendor role as part of an official tender. This not only changed the operational responsibility, but also the strategic positioning with the customer.
With the new role, DEKRA Arbeit GmbH took over the complete administration of existing and new temporary workers, the management of co-partners, the checking and approval of incoming profiles and regular reporting to the customer. In addition, a CRM system was introduced and the entire implementation planning was managed.
In addition to the organizational implementation, the main focus was on building trust. Communication with all relevant departments was restructured, contact persons defined and processes jointly coordinated.
Complexity as a starting point
The project structure was challenging right from the start. Different approval processes in the two federal states, extensive cost center structures and multiple locations required intensive familiarization.
"We had to familiarize ourselves with the very extensive structures in order to fully understand them," says Matthias Wanitschek, Branch Manager at DEKRA Arbeit GmbH, describing the initial phase.
The integration of data protection and works council requirements also placed high demands on everyone involved. The consultations were intensive, but ultimately constructive and goal-oriented.
Implementation in a short time
Only a few months passed between initial contact and technical implementation maturity, and the system landscape itself was ready for use at an early stage.
"The collaboration with compleet was flawless at all times. The high level of availability and the will to implement were always noticeable. The close exchange in the weekly meetings helped us a lot," says Matthias Wanitschek.
The ability to map individual structures flexibly was a decisive factor in the success of the project.

In particular, end-to-end transparency for the customer, structured request processes, the management of all employees, differentiated reporting and the digital mapping of employee leasing contracts played a key role.

More transparency and greater control
Since the introduction of compleet vendor, collaboration has changed significantly. The customer has direct insight into the system, can create reports independently and transparently understand the effects of the service.
The transparency gained simplifies coordination, strengthens trust and consolidates the role of DEKRA Arbeit GmbH as a central management partner.
Strategic milestone with prospects
This project represents a clear milestone for DEKRA Arbeit GmbH. It is the first major master vendor project in this form and underlines the strategic further development of the business model.
"Digitalization is absolutely essential if personnel service providers want to take the step from co-supplier to master vendor. Linking suppliers becomes faster and more transparent. This allows us to react better to changes at the customer and integrate the co-partners in a targeted manner," emphasizes Mr Wanitschek.
The positive experiences have led to the expansion of the master vendor model with compleet being expressly considered for both existing and future projects.
